Guidelines for session hosts

Guidelines for ImpactFest session hosts

If you have been selected to host your own session at ImpactFest, please find the guidelines and timelines below:

Hosting a Meetup

Meetups are interactive sessions lasting 60 to 75 minutes, led by partner organisations and designed for a target audience of 30 to 80 participants.

We’re calling on the community to propose bold, interactive, and honest sessions that:

  • Offer space for reflection, provocation, learning, and hope
  • Are interactive in nature (no lectures or one-way panels)
  • Bring together diverse voices, experiences, and generations
  • Are ideally co-hosted or created in collaboration with other organisations
  • Embody the spirit of ImpactFest: courageous, constructive, and radically inclusive

Hosting a Table Talk

Table Talks are curated, in-person sessions centered around key impact questions. Each round lasts 60 to 75 minutes.

There are three different rounds you can join:

Expert Support round – Hands-on guidance for startups and scale-ups from specialists in finance, legal, communications, talent, and more. These are one-on-one conversations, with each expert hosting up to three 20-minute conversations.

Matching with a Mission round – Value-driven one-on-one conversations between investors and entrepreneurs, or corporates and entrepreneurs. Each investor or corporate host can participate in up to three 20-minute conversations.

Ask Me Anything round – Open, small-group exchanges (maximum of 8 participants) focused on refining ideas, sharing lived experiences, and building skills. This will be a group conversation of maximum 60 minutes.

Important information

  • Language: All sessions are in English.
  • No hybrid formats: We value meeting each other in person, so therefore on-site only.
  • You’re in charge: As session host, you are responsible for content, moderation, and coordination.
  • Interactive: Please put the ‘act’ in impact. We therefore encourage you to have an interactive format that stimulates participants to engage in the conversation.
  • 2 free speaker tickets per session: Other speakers/moderators must purchase discounted tickets
  • No promotional content: This is about deep, meaningful exchange — not PR or sales pitches.
